Overview

We appreciate you may work with different partners to manage your CAF Give As You Earn scheme.  These may include:

  • Professional Fundraising Organisations (PFOs) who sign up new employees through office visits and online sign-up.
  • Flexible Benefits Providers who include Give As You Earn Charity Accounts as a benefit on your platform.
  • Payroll Processing Bureaux who manage your payroll and deductions.

  • A combination of the three!

CAF has launched a new automated service enabling you to:

  1. Tell us who you work with – so we can work with them to manage your scheme smoothly and efficiently. This means we’ll no longer require you to complete a third party notification form.
  2. Give your third parties access – if applicable, third parties can have access to the newly launched uploader functionality so they can submit your monthly payroll donor reports on your behalf.

What is a listing or a payroll Donor Report?

This is a reporting requirement from HMRC – and is a report which CAF uses to reconcile the donations and the employees’ instructions.  This report must be submitted to CAF each month either by you, or on behalf of you by a third party. It lists all the donations taken from payroll and tells us which charities to disburse to. Without this report we are unable to pass your employees’ donations onto charity.  

What has changed?

Going forward, we will no longer be accepting payroll donor reports via email. Our newly launched, automated service enables you to log in to the online portal and upload your employee donations data in easy steps, making processing time fast, secure and simple.

Existing clients with Online Give As You Earn


  • If you work with a third party you’ll need to log in to your Online Give As You Earn portal here and click on the new “User Administration” tab.

  • Click on "User Administration" and you will be invited to register a new user.

New customers or clients who have not registered with Online Give As You Earn


  • To register, click here and if you are working with a third party, be sure to tick that box. You'll need your 11-digit contract number to sign up.

  • Once registered, you'll receive an email confirming your access.

  • You will need to have the following information ready:
  1. Your third party administrator's first and last name

  2. Your third party administrator's email address

  3. Confirmation on whether your employees sign up to payroll giving via Professional Fundraising Organisation (PFO), a benefits platform and/or do you work with a payroll agency, PFO or benefits provider to process or submit any part of your payroll.

  • Then follow the steps to register your third party user.

  • Your new user, once they have received an automated email invitation to complete the registration, will need to have ready, your 11-digit employer contract number.

  • Once you (Primary user) and your third party administrator have completed the registration, a confirmation email will be sent to your new user with a log-in link to access the service.

  • Third part registration administrators will need to have their mobile phone available to receive the multi-factor authentication code each time they log in to the service.

If you work with a Professional Fundraising Organisation (PFO) or Flexible Benefits Provider, you’ll need to continue to supply us with the payroll donor report but you can now do this via our secure portal.  There are some instances where the PFOs and Benefits Providers take on the responsibility of submitting these payroll reports on your behalf – please check with your provider or your PFO if this is the case as you will need to give them upload access.

These partners will continue to send us your instructions via CARDIF or our Remote DIF service – there is no change to this part of the process.
